How do I create Link "Drill Down" Reports?


Drill down reports are done by creating multiple reports & linking them through a field that passes on a field value. The field Value goes into a filter in the second report and shows the details for just that field value.

Drill Down Report using Link (PopUp, Embedded, or Details) function.

1. Determine the field you wish to connect the Master & Details report together. This could be a specific patient, category, region, sales person, etc. For example, ""CategoryID"".



*Best Practice:  It is better to create the Details Report and then the Master Report.

DETAIL REPORT:

2. Create the "Detail" report. This is the report that is ""drilled down"" to.  

3. Add all of the Fields you wish to appear in the Linked display.

4. When you have it looking the way you want go to the Filter tab.  Add a filter, use the "Filter Field" determined in step 1, select "Equals" for the Operator.  *Don't input anything in the Value(s) field.

5. Optional:  Add chart if desired:  Click Chart tab, select Label (Linked Item), Values, & Functions.

6. Save the report for example ""Sample Details"".

MASTER REPORT:

7. Create the "Master" report.  Must contain Field that is being filtered on in the Details report.

8. When you have the report looking the way you want go to the Fields tab.  In the field that you want to pass on to the filter, in this example ""CategoryID,"" select LINK() for the format.

9. Save the report and give this report a name "Sample".  **The reports must be named as such:  Master "Report Name" & Details "Report Name Details"

10. Click Preview on the Master report. You will notice that the Filter fields are linked.

11. Click on a ""CategoryID"" that you want to see more detail on. This will display the detail report and filter according to the Link selected for that category.

Link Examples:

Link(PopUp) Example View:  Filtered data is displayed in a separate window.

Link(Embedded) Example View:  Filtered data is displayed in the column that is being filtered.

Link(Details) Example View:  Filtered data is displayed in a full screen format.
